Privacy policy

This policy explains what personal data Akay (IRL) Ltd (trading as AKAY Trade) collects, why, how long we keep it and what your rights are. It covers the website akay.ie, the Trade Desk at quote.akay.ie, enquiries you send us, and the Akay AI connector at mcp.akay.ie.
Who we are
Akay (IRL) Ltd, registered in Ireland, company number (CRO) 250418. Registered address: 36 Gleann An Oir, Shannon, Co. Clare, V14 V006, Ireland. We are the data controller for the processing described here. Contact for anything in this policy: [email protected].
We are a business-to-business wholesaler. We sell only to trade (business) buyers, so most of the personal data we handle is business contact information.
1. Browsing akay.ie
- No account. You can browse and search the catalogue without signing in or giving us any details. The site search runs in your browser.
- Analytics. We use Google Analytics 4 to count page views and clicks (for example, clicks on the WhatsApp enquiry button). Google Analytics sets cookies and processes your IP address and device information on Google's servers. We use the reports to understand which offers and pages are useful. You can block these cookies in your browser settings or with Google's opt-out add-on.
- Hosting. The website is hosted by Netlify, which processes standard request data (such as IP address and browser type) to deliver the pages and protect the service.
2. Enquiries and the Trade Desk
When you contact us by email, WhatsApp or phone, or upload a buying list or chat at quote.akay.ie, we receive what you send: typically your name, company, email address, phone number, your buying list or message, and the products and prices you ask about.
- Why: to answer you, prepare quotes, process orders, manage our trading relationship, and learn which products buyers are looking for so we can source them.
- Legal basis: steps taken at your request before entering a contract, performance of a contract, and our legitimate interest in running and developing a wholesale business.
- Where it is kept: our business email (Google Workspace), our customer and enquiry records (Airtable), and the automation that files Trade Desk enquiries (n8n). WhatsApp messages are handled by WhatsApp (Meta). The Trade Desk is hosted by Netlify and its pricing service by Railway; Cloudflare Turnstile checks that uploads come from a person rather than a bot, and chat questions are answered with the help of an AI service provider.
- How long: for as long as needed to deal with your enquiry and any trading relationship that follows. Records of completed sales are kept for six years to meet Irish tax and company law. You can ask us to delete enquiry data we no longer need.
3. The Akay AI connector (mcp.akay.ie)
The connector lets an AI assistant such as Claude search the public akay.ie catalogue, price products and buying lists, and prepare a quote request. It is read-only, needs no account or sign-in, and sets no cookies. More detail: Akay AI connector.
What it receives
Only what your AI assistant sends in a tool call: search words, product names, EAN barcodes, quantities, offer ids, and the lines of a buying list you ask it to price. It does not receive your conversation, your name or your contact details, and none of its tools ask for them.
What happens to it
Each call is answered in memory and the content is not stored. We do not use it to identify you or build a profile.
What our server logs
The connector writes these log lines, and nothing else:
- start-up and catalogue update events (for example, how many offers were loaded);
- a usage summary every 10 minutes: the number of calls per tool and outcome, and average and slowest response times;
- safety events: which tool was involved and what kind of content a safety check withheld;
- error events: the type of error and where in our code it happened.
These logs contain no search words, tool arguments, IP addresses or session identifiers.
Hosting logs
The connector runs on Railway in the EU (Amsterdam). For every request, Railway records standard request data: time, path (such as /mcp), status, response time, source IP address and user agent. The content of your request is not in these logs. When you use the connector through Claude or another assistant, requests come from the assistant provider's servers, so the IP address recorded is theirs, not yours. Railway keeps these logs for up to 30 days.
Held briefly in memory, then discarded
- Rate-limit counters for each connection session (number of calls). They are cleared when the session has been idle for 60 minutes, or when the server restarts.
- New-connection counters per network (the first three parts of an IP address), used to stop floods. They are cleared after 60 seconds.
- A 60-second cache of tool results, so identical calls are answered quickly.
Quote requests
The quote tool prepares a summary and a CSV file inside your conversation. Nothing is sent to us unless you upload the file or message us yourself; section 2 then applies.
Your AI assistant
Your conversation with the assistant is handled by its provider (for example Anthropic for Claude, or OpenAI for ChatGPT) under that provider's own privacy policy.
4. Sharing and transfers
We do not sell personal data. We share it only with the service providers named above, who process it for us, and where the law requires. Some of these providers process data outside the European Economic Area; where they do, transfers are covered by the European Commission's Standard Contractual Clauses or the EU–US Data Privacy Framework.
5. Your rights
You have the right to access, correct or delete your personal data, to restrict or object to its processing, and to data portability. Email [email protected] and we will reply within one month. You can also complain to the Data Protection Commission (dataprotection.ie).
6. Trade buyers only
Our services are for businesses and are not directed at anyone under 18.
7. Changes
We will update this page if our practices change, and change the date at the top.
